Green Park strengthens holiday and absence management with Cezanne OnDemand online HR Software


 

 Executive recruitment firm Green Park is using Cezanne OnDemand online HR software to streamline and strengthen its holiday and absence management processes.

Green Park places senior directors in interim and permanent roles across a range of sectors from financial services and legal through to HR and retail.  Despite the ups and downs in the recruitment market, the central London-based business has seen rapid growth in the last year and now employs 40 people.

Managing HR data for an expanding team had, however, become something of a challenge for the business, as Head of Administration Lyn Azusada explains:  

“We were previously tracking holidays and absence on Excel spreadsheets and holding employee information on a series of computer files.  As the business 

continued to grow, however, it became apparent that it wasn’t really feasible to continue managing information in this way.  We needed to bring our HR software systems up-to-date and to find a solution that would allow us to hold all the data we needed in one central place.”

Green Park looked at a number of possible HR software solutions, opting for Cezanne OnDemand after a trial run of the system and a reference call with an existing user.  Price and ease of use were the driving factors behind its decision to go with the product.  “It’s such a useful tool but also extremely cost-effective,” says Lyn Azusada.  “The price we pay and the return we get has proved to be really good value.”

The business was under pressure to get Cezanne OnDemand up and running quickly and opted for a half day webinar to familiarise staff with the system instead of the usual on-site training.  Thanks to the user-friendliness of the product, moving to an automated process for managing holiday requests was pretty much pain-free.

Employees are now able to log onto the system, get an update on their holiday entitlement and send a request for authorisation straight to their manager’s inbox.  “People really liked the idea of being able to check how much holiday they had left for themselves rather than having to come to me,” says Lyn.  “It’s made the whole process much quicker and easier.”

Employees also use Cezanne OnDemand to self-report any sickness absence.  Lyn believes that the ability to get an overall picture of absence rates in the business will be extremely valuable as the company continues to grow.  “When a business is quite small it’s easy to spot absence.  You know who’s missing or has become unwell and has had to go home,” she says.  “Once the business gets bigger, however, it’s much more difficult to keep tabs on it.  Having all the information in one central place will make it much easier to monitor how much time is being taken and to see if there are any trends.”

Looking further ahead, Green Park also plans to introduce the performance management module, which is available to Cezanne OnDemand subscribers for an additional £1 per employee per month.

“It’s certainly proved to be a very useful tool so far – and the response time to any issues or questions we have had has been very good.  It’s a user-friendly solution which can move forward with us as the business continues to grow,” says Lyn.
