TIME added to Cezanne HR software


Time is the latest addition to Cezanne HR’s expanding suite of HR software solutions. Designed to be used with Cezanne’s core People HRMS, and optionally alongside the Absence module too, it allows employees to quickly and easily record how they are using their time across multiple projects and activities, and in multiple companies or countries too.
 
ATTACH AND ORGANISE IMPORTANT DOCUMENTS
 
It’s really easy to store employee-related documents in Cezanne, and we don’t even charge you for data storage! You can bulk upload documents, such as electronic payslips; attach documents, like contracts or CVs; and even allow employees to upload their own information, for example training certificates. Since documents are protected by the system’s advanced security, it’s not only more convenient but safer too.
 
CAPTURE THE DETAIL YOU NEED
 
With Time, it’s easy to set up the system to record as much or as little information as you need – and to give managers rights to set up their own projects too. You can decide how ti me is recorded (start and end time, or ti me spent overall); set up a catalogue of projects and related activities; record and report on travel and overtime separately from standard work time; select different approval workflows, and more. You can even have different employees recording information in different ways.
 
ENCOURAGE COMPLETION
 
Once employees are associated with a Time plan, the system takes care of the rest, automatically notifying them at the beginning of each week that they have a timesheet to complete. Since Time is fully integrated with the rest of the Cezanne suite, employees simply login and complete their time sheets using the same, familiar interface.
Entering data is easy too. The system can be set up to show employees only the activities they are working on, or they can be allowed to tailor their own lists, so they can go straight to the information they need. If an employee logs time that does match their working hours; or enters hours on a non-working day, such as a bank holiday, the system warns them, so they can double check their entries. It’s a much more effective approach.
Since Time is in the Cloud, and accessed via the internet, employees can complete their timesheets when it suits them. Perhaps from their home PC, and not when they rushing to leave the office on a Friday evening.

No more time-consuming spreadsheets or information that’s hard to find and report on. Instead, you’ll have single, secure source of accurate, up-to-date information that’s available at the click of a mouse. You can even import data from third-party tools, such as clocking in and out systems.
For an even more complete picture, take the Absence module too. Any absence booked, such as holidays, sickness or parental leave, will automatically appear in the employees’ timesheets. Double entry is avoided, mistakes are less likely, and it’s clear to both employees and their managers when employees are working, and when they are not. Reconciliations are easier too, as you can run reports that contain both absence and timesheet information.
 
MAKE SIGN OFF SEAMLESS
 
As completed timesheets are submitted, the system automatically notifies the approving manager that there’s a task that needs to be completed. HR can decide who the approvers are – the employee’s supervisor, org unit manager, or someone who’s responsible for a specific time plan − and what permission they have – for example, whether they can simply view the timesheet and approve or reject it, or edit it. You’ll also be able to set up multi-step approvals. For example, to include the supervisor first, and then the Financial Director.
 
RECORD ANY TYPE OF ACTIVITY
 
What’s recorded in Time isn’t restricted to activities related to specific projects. The system can be used to log other activities – such as training or internal meetings – or just to record when someone started and ended their working day. And, you can mix it up. You can have some employees using the full timesheet functionality, with the options for allocating their time against different projects, activities and activity types, while for others a simpler approach maybe more appropriate.

The advantage of asking all of your employees to track how they use their time is the data. You’ll be able to report on time spent on specific projects, so you can look at billable versus non-billable time, and generate accurate overtime information for payroll. It can also help you understand how time is being spent on a host of other activities too – like training, mentoring, inductions or interviewing. It’s a powerful source of data that can help with everything from performance reviews to resource planning.
